Project Coordinator

We are looking for a professional and responsible Project Coordinator to provide support to Project Managers, responsible for managing all administrative aspects of a construction project.

DUTIES:

  • Support the Project Managers in with all aspects of the project from start to finish
  • Assist the Project Manager in the bidding process of new projects
  • Set up bid folder
  • Send out invitation to bid for job walk
  • Create a subcontractors bid list
  • Gathering all proposals
  • Request building owner name and address, building requirements,
  • For billing purposes request where the client would like your invoices to be sent or emailed with any specific requirements for invoicing
  • Entering job start form for new project and setting it up in Procore
  • Entering the budget into Procore
  • Prepare all work orders
  • Prepare owner change orders, subcontractor change orders and managing change order log
  • Track all subcontractor documents
  • Requesting all Submittals, entering and submitting to the client and Architect. Managing the submittal log, follow up on submittals; track long-lead items
  • Draft and log RFI’s when requested too
  • Support the project team in all aspects
  • Assist with updating and uploading all project drawings to Procore, and distributing to subcontractors
  • Ensuring subcontractor insurance is up to date and requestion COI’s for all new projects
  • Communication with Clients, Subcontractors, Architect and Engineers
  • Assist with the arrangement meetings
  • Attending weekly meeting, conference calls or site visits as needed; Note-taking, preparing meeting minutes
  • Close out Projects in a timely manner

REQUIREMENTS:

  • 3 years construction industry experience in an administrative role i.e. Project Coordinator, Project Assistant/Administrator or Contracts Administrator
  • Experience in Microsoft Office - Word, Excel, Outlook, Adobe, Procore
  • Ability to take direction and work independently
  • Strong Organizational Skills & Multitasking Abilities

EDUCATION

  • Required High School diploma or equivalent
  • Preferred – Associates degree or higher

LICENESES & CERTIFICATES

  • Valid driver’s license
